Event Copy Submission Guidelines

Forms:

  1. Calendar Date Request Form
  • Dates must be requested before they are added to the Calendar.
  1. Event Copy Submission Form
  • Date Submission Deadlines
    • Submission forms must be received by the 1st of the month 2 months before the planned event. This ensures it will make it into The Page and be an official event.
  • If the Event Copy is not received and/or does not get published it is considered “Unofficial”. Awards CANNOT be awarded if the event is “Unofficial” by Barons/Baronesses or Royalty.

What happens after the forms are submitted?

Calendar Date Request

  • Answers are sent to the Kingdom Seneschal and Date Approval Deputy.
  • Approved dates are added to a spreadsheet.
  • Date added to the Calendar.
    • Event Copy can now be submitted. 
  • Approval email sent to the submitter.

    Event Copy

    **Event information will not be published without an Event Copy Submission** 

    • Answers/Responses and a PDF are emailed to the submitter and the Communication Team, and an email thread is created.
    • Calendar Deputy updates Calendar information and then responds to the email thread.  
    • Social Media Officer creates WK Official Event Facebook Page and adds the Event Steward as Co Host then responds to the email thread.
    • Any updates, changes, or cancelations for the Event should be communicated through the email thread. This ensures that all areas of the Communications Team receives the same information.
